For marketing agencies that bill recurring clients
Everything spreadsheet billing leaves out
Six pillars of the agency operating layer — designed to run your recurring billing without changing how you fulfill.
Connected-platform KPIs
Pull per-client KPIs from GoHighLevel, HubSpot, BirdEye, and Yext into one dashboard — no double-entry, no extra logins.
Recurring invoicing
Generate branded invoices on the schedule you set, with quantities and prices from your product catalog. One-off invoices supported too.
ACH + cards, your processor
Stripe Connect for instant setup, or a direct merchant via Authorize.net for lower rates. Both behind one UI.
Auto-draft, with dunning on the roadmap
Saved card and ACH auto-pull on due date. Automated retry + reminder sequences for failed payments are built to follow.
Per-client margin on demand
Your own entered wholesale cost vs. your retail price, calculated and surfaced per client whenever you need it.
White-label customer portal
End-clients log in under your brand to view invoices, statements, and KPI reports — and pay you directly.
The standalone layer you bill your book of business from.
Set up your products with wholesale cost and retail price, connect your own merchant account, and bill every client from HubWho — on your own processing rates. Coming from another tool? A source-agnostic CSV importer brings your client list and subscriptions across, so you don't rebuild by hand.
- Recurring + one-off invoicing on your own schedule
- ACH + card on your own merchant account — no take-rate from us
- Per-client KPIs from GoHighLevel, HubSpot, BirdEye, and Yext
- Per-client margin: your wholesale cost vs. your retail price, on demand
- Encrypted credential vault (AES-256-GCM, never exposed to UI)
Card data never touches HubWho — handled by Stripe and your processor.
Stripe Connect (live in hours) or direct merchant via Authorize.net (lower rates).
Every invoice, charge, and credential change is timestamped to a user.

What agencies told us they need
HubWho was shaped by months of calls with marketing agencies before we wrote a line of code. These are direct quotes from those conversations.
“The only thing I want is a billing tool that imports my client catalog without me re-keying it. If you build that with per-client margin, I'm in on day one.”
“We pay processor margin on $400K/year of card volume and never see the line item. That's the gap. Bringing our own merchant changes the math entirely.”
“I just want a billing layer that's white-labeled to my clients and that doesn't gate my margin reporting behind a quarterly export.”
Identifying details withheld at the agencies' request during pre-launch. Real customer logos and quotes will replace these as production rolls out.
Frequently asked
What is HubWho?+
HubWho is a standalone billing, invoicing, ACH collection, customer portal, and KPI dashboard platform for marketing agencies. Agencies run recurring billing, take payments on their own merchant account, give clients a white-label portal, and see per-client margin and KPIs from one app.
Who is HubWho for?+
Marketing and digital agencies that bill recurring clients, want to keep their own merchant account, and need real per-client margin reporting — not just revenue. If you're running that operation across QuickBooks, Stripe, and spreadsheets, HubWho is the standalone platform you move it onto.
How is this different from QuickBooks plus Stripe plus spreadsheets?+
Stitching those tools together gives you invoices and payments but no per-client margin and no branded client portal. HubWho lets you bring your own merchant account — Stripe Connect for instant onboarding, Square, or a direct merchant via Authorize.net for lower rates once underwritten — surfaces wholesale-vs-retail margin per client on demand, and gives every client a white-label portal. It runs as one platform built for how agencies operate.
How do I get my clients into HubWho?+
HubWho is standalone — you set up your products and clients, connect your own merchant account, and bill directly. A source-agnostic CSV importer brings your client list and subscriptions across from a spreadsheet or your current tool, so you don't rebuild by hand. Marketing KPIs come from the platforms you connect — GoHighLevel, HubSpot, BirdEye, and Yext.
How does ACH work?+
End-clients link their bank account via Plaid during invoice payment or upfront in the customer portal. HubWho stores the resulting ACH token at your chosen processor and uses it for auto-drafting on invoice due dates. Failed pulls are retried, with a configurable dunning sequence on the roadmap.
Can my clients pay invoices themselves?+
Yes. Every tenant gets a white-label customer portal at their own subdomain. End-clients log in to view invoices, statements, KPI reports, and pay by saved card or ACH. The portal is branded with your agency's logo, colors, and support email.
Does HubWho take a cut of payments?+
No. Payments flow directly from your end-client to your own merchant account. Roffik (the company that builds HubWho) charges a flat HubWho subscription — there is no per-transaction take-rate.
Stop running your agency out of spreadsheets and disconnected billing tools.
Set up your catalog and clients in minutes. Start invoicing the same day.
