HubWho is a standalone billing and ops platform — here's how to set up your catalog, import your clients, and connect the platforms they run on.
HubWho is a standalone billing and ops platform — it runs entirely on its own. You set up your products and clients in HubWho, connect your own merchant account, and bill from HubWho. The setup takes about an afternoon.
Step 1 — Set up your product catalog
In HubWho, go to Settings → Catalog → New Product.
Add each product you sell with its wholesale cost and your retail price. HubWho uses the difference to show per-client gross margin.
The CSV importer is the fast on-ramp to bring your catalog and client list across in bulk, so you don't have to rebuild by hand.
Step 2 — Import your clients
Export your client list and recurring subscriptions from a spreadsheet or whatever tool you bill in today, then import the CSV under Clients → Import. Map the columns once and HubWho bulk-creates your clients and subscriptions.
The importer is source-agnostic — any CSV works, so you're not tied to a single export format.
Step 3 — Connect the platforms your clients run on
Connect the marketing platforms your clients run on — GoHighLevel, HubSpot, BirdEye, Yext — under Settings → Integrations. Each credential is encrypted immediately (AES-256-GCM) and the plaintext is never written to disk.
HubWho pulls per-client KPIs (reviews, listings, leads, engagement) from those connected platforms into your dashboards and the customer portal.
What runs in HubWho
Invoicing, ACH and card collection, dunning, the white-label portal, and per-client margin all run in HubWho on your own merchant account.
Everything runs entirely inside HubWho with no live dependency on any third-party billing platform.
